Mission Statement:  To promptly record, file and preserve documents accurately in an efficient, responsible and professional manner.

The County Recorder in Mahnomen County is the custodian of all legal records pertaining to real estate, birth, death, marriage, ordination credentials, notary public registration, and State/Federal tax liens. 

Real Estate

Checks for recording real estate documents are sometimes distributed to different departments.  Checks for State Deed Tax (SDT) and Mortgage Registry Tax (MRT) can be combined in one check.  A separate check is needed for delinquent taxes, a separate check for current taxes and a separate check for recording fees.  Make checks payable to Mahnomen County.

If a deed is being eRecorded with a Well Certificate and a Certificate of Real Estate Value use the following sites to use the new eWell Certificate and the new eCRV.

State Deed Tax (SDT) is figured at .0033 times exact consideration amount, with a minimum of $1.65 due if the total consideration is less than $500.00.

Mortgage Registry Tax (MRT) is figured as .0023 time’s exact amount of the mortgage.  Make these checks payable to the Mahnomen County Treasurer.

If numerous documents are submitted for recording with one check to cover all recording fees and any of the documents are not in recordable form, all documents will be returned without recording.  We do not provide refund checks.

Real estate documents are returned to the submitter unless an addressed, stamped envelope is submitted with the documents for the purpose of mailing the documents to a different party or address.

Real Estate Recording Fees:

  • $46.00 per document
  • Satisfactions/Assignments $46.00 (This includes up to four document numbers referenced – an additional $10.00 per number thereafter)
  • Well Disclosure Certificate - $50.00
  • Plat - $56.00

eRecording in Mahnomen County

We eRecord all abstract documents.  We do not eRecord Torrens documents at this time.  eRecording is the electronic process of receiving documents for recording.  The documents are sent through a MN Trusted Submitter to our office where data is entered, payment is made, and the documents are electronically sent back in minutes fully recorded. 

Uniform commercial Code (UCC) filings

  • Effective 12/1/2014, must be filed with the Secretary of State

Central Notification System (CNS)

  • Effective 2/1/2007, must be filed with the Secretary of State

Notary Public Information

The Minnesota Secretary of State office (www.sos.state.mn.us) will issue a Notary Commission card. This card must be registered with your resident Minnesota County, in person.  When you register with the county, please bring:

1. Notary Commission card from the Secretary of State.

2. Government issued picture ID.

3. $20.00 fee.

Birth Certificates

To receive a certified birth certificate, you must have proof of tangible interest in the subject of the record.  Certificates may be obtained by mail or in person.

FEES:

  • Certified:  $26.00 first copy, each additional ordered at the same time $19.00
  • Non-certified:  $13.00 per copy

3. Have your signature on the form notarized

4. Enclose check or money order payable to Mahnomen County Recorder

WALK-IN REQUESTS: 

You will be asked to complete and sign an application that you have tangible interest in the subject.  You will need to provide identification, such as a driver’s license, you will then receive the certified birth certificate.

Death Certificates

To receive a certified death certificate, you must have proof of tangible interest in the subject. 

FEES:

  • Certified:  $13.00 first copy/$6.00 each additional copy of the same certificate
  • Non-certified:  $13.00 per copy

1. Print Death Certificate Application Form

2. Complete the form

3. Have your signature on the form notarized

4. Enclose check or money order payable to Mahnomen County Recorder

5. Mail to Mahnomen County Recorder, P.O. Box 380, Mahnomen, MN  56557

WALK-IN REQUESTS: 

You will be asked to complete and sign an application stating that you have tangible interest in the subject.  You will need to provide identification, such as a driver’s license, you will then receive the certified death certificate.

Credentials of Ordination

To perform a marriage in Minnesota, you must file your Credentials of Ordination or Credential of Licensing.  This must be done in one of the counties in Minnesota prior to performing marriage ceremonies. 

Marriage License Application

  • Application for a marriage license shall be made by both parties
  • If you have been previously married, please provide most current information
  • Have a valid/current picture ID
  • MN requires a five (5) day waiting period
  • The Marriage License is valid for a period of 6 months
  • The marriage license is valid only in the State of Minnesota
  • You do not need to be married in the Minnesota County from which you obtained you license

FEES:

  • Marriage License - $115.00

  • Marriage License with pre-marital counseling - $40.00

  • Certified Marriage Certificate $9.00 each
